Read these numbers carefully. Payback assumes the customer's stated wage levels are accurate and that labor was the only constraint being relieved. In higher-wage markets (Western Europe, North America, Australia, parts of the Middle East), payback is typically under 6 weeks. In lower-wage markets (South Asia, much of Africa, rural Latin America), payback is more realistically 6–18 months — and the gain is consistency, night-shift capacity, and reject-rate reduction, not pure headcount savings. Sanity-check the math against your own wages, shift count, and overheads before signing a PI.

Quote Checklist

What Any Factory Needs to Quote You Accurately

The most common reason quotes from different factories look wildly different is that the buyer sent different information to each one. Copy this 7-point checklist into your inquiry and you'll get apples-to-apples quotes back — works for any reputable Chinese factory, not just us.

An example from our floor: last year a Vietnamese pet-food brand sent us an inquiry for our SW-D200 premade-bag machine. The dosage requirement turned out to be ±0.5 g on 50 g sachets — too tight for the 4-head linear weigher their inquiry implied. We recommended the 14-head multi-head config instead, which added $4,800 to the quote but cut their reject rate from 3.2% to 0.4% in the first month of production. That conversation only happened because their inquiry told us the actual product, the actual bag size, and the actual accuracy target. When buyers send us these seven points up front, we usually return a written PI within one business day — and we don't quote machines we haven't tested with the real product.

  1. 1. Product to be packed — type, flowability (free-flowing / sticky / abrasive / wet), bulk density, particle size or viscosity. Ship a 1–2 kg sample if possible.
  2. 2. Bag style and dimensions — pillow / stand-up / 3-side-seal / 4-side-seal / spout / vacuum, plus length × width × thickness in mm, and whether the bag is from film roll or pre-made.
  3. 3. Target throughput — bags per minute (or per hour), and whether that's continuous output or peak-hour. Over-specifying speed inflates price.
  4. 4. Filling accuracy required — ±1% standard, ±0.5% premium, ±0.2% needs multi-head weigher or specialised dosing.
  5. 5. Destination country and voltage — 220V / 380V, 50Hz / 60Hz. Affects motor selection and contactor sizing. Wrong voltage at PI = expensive rework.
  6. 6. Required add-ons — date / batch printer (almost always yes), N₂ flush, metal detector (HACCP / BRC export), output conveyor, auto-feeder.
  7. 7. Compliance requirements — CE (Europe), FDA food contact (US), ATEX (explosive dust), HACCP / BRC. List anything your end customer or local regulator requires.

With these seven points, a serious factory should turn around a written PI within 24–48 hours — including FOB price, lead time, add-on line items, and recommended shipping route. Quotes that come back faster than 4 hours and shorter than half a page are templates, not engineered responses.

Five Mistakes to Avoid When Buying From a Chinese Factory

These five mistakes account for most of the bad reviews you'll read about importing packaging machinery. They aren't specific to any factory — they're general procurement risks. Knowing them lets you ask the right diligence questions of any supplier you're evaluating.

The machine delivered doesn't match the PI spec

What goes wrong: Lower-grade components substituted (generic PLC instead of Siemens, 201 steel instead of 304), missing options, wrong model number.

How to prevent: Require a 5–10 minute pre-shipment video showing your specific machine running with your product samples. Sign off the video before crating.

Mid-order price hikes after deposit clears

What goes wrong: "Steel prices went up", "voltage change adds cost", "we forgot to quote the conveyor". Deposit is non-refundable, so you're locked in.

How to prevent: Ensure the PI locks every line item — base machine, add-ons, voltage, freight terms, payment milestones. If the factory won't commit in writing, walk.

Supplier becomes unreachable after deposit

What goes wrong: Shell company, personal bank account, ghost address. By the time the deposit lands, the "factory" doesn't exist or never did.

How to prevent: Wire to a registered company name, never a personal account. Verify business registration on the Chinese commercial registry. Schedule a factory visit for orders over $20k.

Slow or non-existent after-sales response

What goes wrong: 48-hour ticket reply, support engineer doesn't speak your language, spare parts take 6+ weeks.

How to prevent: Ask before purchase: "What is your email response SLA? Where are spare parts shipped from? How long do common wear parts take?" A factory with a real after-sales team answers in specifics; a trading company gives vague reassurances.

Machine arrives but can't pack your actual product

What goes wrong: Spec sheet looked right, but your real-world product (sticky dough, abrasive granules, oversized bar) jams the dosing system. Refund disputes are slow and rarely succeed.

How to prevent: Before signing the PI, ship 1–2 kg of your actual product plus a sample pouch. Require a recorded sample test on the proposed model. This single step prevents most post-installation regrets.

Frequently Asked Questions

Are the price ranges negotiable, or is the FOB number fixed?

FOB numbers in this guide are quotes we have issued — not list prices and not floors. Negotiation typically happens around (a) volume — about 5% off the machine for 2–3 units of the same model, more for larger orders; (b) component spec — accepting a Mitsubishi PLC instead of Siemens can trim 8–15%; (c) timing — slow-season orders may absorb voltage conversion or printer add-ons. We do not negotiate by cutting warranty coverage or skipping the pre-shipment video test.

Why are some Alibaba quotes significantly cheaper than this guide's ranges?

Two reasons most often. The cheaper quote may exclude items reputable factories include by default — Siemens PLC, SUS304 stainless steel, multi-year warranty, spare-parts kit. Or it may come from a trading company reselling a generic build with no engineering support. Compare line-by-line and ask for factory address, business registration, and a visit invitation.

Why is Chinese packaging machinery cheaper than European or Japanese equivalents?

Labor and overhead, not component quality. A comparable European-built VFFS retails for €60,000–€120,000; the same throughput and component spec from a quality Chinese factory is $5,000–$15,000. Engineering uses the same global component brands (Siemens, Panasonic, Schneider, AirTAC). The saving is in assembly labor and overhead, not in materials or warranty coverage.

Is Alibaba Trade Assurance safer than direct T/T to the factory?

Trade Assurance adds platform-side escrow until you confirm shipment, which protects against deposit-then-disappear risk on first-time orders below roughly $10,000. For larger orders or established supplier relationships, direct T/T to the factory's registered company account is the norm — Trade Assurance fees become material and the platform dispute resolution is slower than direct factory communication. Verify the receiving bank account name matches the registered manufacturer (not a personal account or off-platform middleman) before wiring.

What happens if my lead time is missed — is there a penalty clause?

Most Chinese factory contracts include a lead-time term but not an automatic late-delivery penalty. If your downstream commitment depends on a specific ship date, add a clause to your PI specifying the daily late-shipment liquidated damages and your right to cancel if the delay exceeds a threshold (commonly 30 days). Reputable factories will accept reasonable clauses; pushback usually indicates capacity uncertainty, which is itself useful information.

What does a 2-year manufacturer warranty actually cover?

Manufacturing defects under normal operation — main frame, servo motors, PLC, HMI, sealing system. Wear parts (sealing strips, suction cups, heating elements, vacuum pump seals) are excluded and covered by the spare-parts kit shipped with the machine. Reputable factories dispatch in-warranty replacement parts within a few business days, typically without additional charge — confirm the exact SLA in your PI.

What if my product is unusual — will the machine actually pack it?

This is the most important pre-order check. Ship 1–2 kg of your actual product plus a sample pouch to the factory before signing. A serious factory will run a test on the proposed model, record the test on video, and only confirm the order if the test passes. Sample inbound shipping is sometimes absorbed on larger orders — ask in your inquiry.

Should I visit the factory before ordering?

For first-time orders above $20,000, yes — and most reputable factories actively welcome visits. The visit lets you verify the factory exists, see other machines in production, and meet the engineers who will support you after delivery. What if multiple quotes come back with different filling systems recommended?

Different filling systems for the same product usually mean the factories ranked your product's characteristics differently. Ask each supplier to justify the recommendation against three criteria: filling accuracy at your target speed, behaviour with your specific product sample (sticky / abrasive / hygroscopic), and changeover time if you run multiple SKUs. The right system is often the one chosen after a recorded sample test, not the one chosen on paper specs alone.

How do I avoid getting stuck with a machine I can't sell to my customers?

List compliance requirements (CE, FDA food contact, ATEX, HACCP / BRC) on your inquiry from day one. Ask the factory to confirm in writing which certifications the machine carries. For food-contact applications, request the material certificates for product-contact surfaces. Buying without confirming compliance is the most expensive way to learn what your local regulator requires.
